Tutorial: How to Synchronize Your Publication with your Video

If your paper is open access and the upload system was able to retrieve the full text of your article, you will then be able to fully synchronize the text and figures to your video.

NOTE: If you were not given the opportunity to synchronize your video to the text of your paper, your article is either a closed access paper or not available in the National Library of Medicine's XML format. We can still accept your pubcast, but we cannot legally repost the full text if it is closed access. If you have an open access paper in PubMed Central and the upload system is not retrieving the full text of your paper, please contact us at: info@scivee.tv. We are happy to help you individually. We are working on supporting more input formats for full-text open access papers.

If you skipped the option to synchronize the text and figures of your video when you uploaded, there is a way to go back and access the synchronization page. Simply follow the steps on the help page linked here: How do I go back to synchronize my text and figures to my video after publishing?

After you successfully upload your paper and your video, you will be given the chance to use the synchronization tool. The synchronization page will look something like this:



The video will already be playing by default. You can stop or restart the video by using the play or pause button beneath the video. You also may want to skip to a specific part of the video by clicking and dragging the timeline indicator to that part of the video.

These are the steps for creating synchronized spots in the video:
1) Locate a part of the video where you would like to add a reference from your article. Pause your video at that spot.

2) Scroll down to locate the text that you want to appear highlighted during the part of the video you paused at in step 1.

3) You will have two choices. You can either click the "all" button to select that whole section of text OR you can click and drag the cursor over a part of the text to highlight it and click the "+" button.



4) After you click either the "add" or "+" button, a block will appear in the video timeline next to the timeline indicator. That block represents the text you just chose to highlight. You can then edit the block in one of three ways. You can either choose to move the block, change the length of the block, or delete the block.



5) To edit the placement of the block, you will first need to click on it. It will then turn purple. This indicates that the block is is active and in edit mode.

6) To move the block, simply click on the block and drag it to the part of the timeline you want to put it. Be careful not to click the "x" or the triangle arrow on the block. The "x" will delete the block, while the triangle arrow will change the length of the block.

7) To change the length of the block, click and drag the arrow to the desired length.

8) To delete the block, click the "x" and the block will disappear from the timline.

9) After you have added a few blocks to your video timeline, you may get an error message if there is no space on the timeline to add block. Basically, it means that the blocks are overlapping. They cannot overlap, but you can avoid getting the error if you move the timeline indicator to a clear spot to add a new block and then adjust the location and lengths so they fit on the right place of the timeline.

10) When the timeline plays over the block you created, a preview of the text will appear over the top of the video.

The preview of text appears over the video, but it will appear to the side of the video once it is published.


11) You can save your work by choosing the "save" button. That way if you need to come back and work on it later, you can. It is good to save your work often so if you get disconnected, your computer looses power or your browser hangs, you still have your edits saved.



12) If you want to highlight a figure at a specific point in the video, you will first need to click on the "Figures" tab.



13) Find the place in the timeline you want the figure to appear and then click the plus sign next to the figure you want to add. The figures you select and place in the timeline will pop up as thumbnail images when the viewer is watching the video and the viewer will be able to click on the thumbnails to get a closer view. It is great to add figures where your video discusses their respective details. You also can click on the plus sign next to the first thumbnail that is blank to add another image that was not retrieved from your publication.



14) If you want to add custom text, you can click on the "Custom Text" tab. Just type in the text you want to appear and click the "+" sign on the lower right. You can make new custom text by typing new text in the box and clicking the "+" sign again.



15) Once you have all the text and figures added and you would like to preview your work, you can click "Finish." A preview of your work will appear showing what your pubcast will look like after you post it. You will have the option to "Go back to synchronize" if you want to work on it more.



16) If you are happy with the way it looks, you can then choose "yes" to publish your pubcast.



17) You will be asked to add or edit the "tags" for your pubcast. Tags are keywords that will help viewers find your video using relevant search phrases. There may already be some tags in the list because we automatically use the MeSH (Medical Subject Headings) terms from your paper as tags if your paper is deposited in PubMed Central. You can edit them, delete them or add more to the list.



18) You will then be asked to send out emails to the other authors of your paper. Hopefully, you would have already notified the other authors that you were working on a pubcast about the paper, but if not, we really encourage you to use this email space to notify all the authors of your paper. If they have comments or suggestions about the posting they can then let you know their feedback.



19) After you click "send emails" or "continue," a congratulation page will appear with a direct link to the url of your pubcast. You can click that link to view your pubcast in the site.

20) You can share your publication with other people by clicking the "share" tab. The share tab is located in the lower right section under the pubcast. To learn more about sharing your pubcast see: What is the easiest way to share my pubcast or video?
